A two-minute acceptance check for London, Ontario researchers

London's research institutions run some of the tightest material QA in Ontario, and most of what a laboratory does to assure material quality costs nothing to copy. It is not equipment. It is four habits about documentation and acceptance.

What we ship to London

The four habits

1. Accept only against a batch-specific certificate. Not a product-line spec sheet. The certificate has to describe the batch actually delivered.

2. Tie the certificate to the container. A report in an email and a vial in a fridge are two unrelated objects six months later.

3. Inspect on receipt, before storage. Appearance, seal integrity, label-to-document match. Checked when it arrives, not when you need it.

4. Have a route for material that fails. Labs quarantine and escalate. Individual buyers tend to shrug and use it anyway. That is the real gap between the two.

None of it needs a budget. All of it needs a supplier who can support it.

Where suppliers fail

Habit 1 eliminates anyone who cannot produce a report for your batch.

Habit 2 is where most fail quietly. They send a PDF, and the link between that PDF and the vial in your hand is whatever you wrote down.

Our per-vial QR code exists for habit 2. The code is on the vial, so the report is retrievable from the object indefinitely. You cannot lose the association, because it does not live in your filing.

Habit 4 needs a real failure route. Ours: a vial that fails its lab report is replaced, reported within 7 days.

Check the vial before you use it

Every vial we ship carries its own QR code. Scanning it opens the third-party lab report for the exact batch that vial was filled from: HPLC purity, mass-spec identity, appearance, the testing lab and the date. Scan a sample at /track before you order anything.

Four things to confirm on arrival:

1. The batch number on the label matches the report the code opens.
2. The seal and stopper are intact.
3. The lyophilized cake is dry and whole, not collapsed, shrunken or tacky.
4. The colour matches what the report describes.

A vial that fails any of those is replaced. Contact support within 7 days of delivery.
